1. Overview
We ask for only what we need to care for your pet, come to your home, and stay in touch with you about your appointment.
This Privacy Policy applies to information we collect when you visit edencrestvet.com, book a visit through our online booking page, call or text us, use the chat widget on our site, or receive care from us. By using our website or booking a visit, you agree to the practices described here.
We are a small veterinary practice, not an advertising company. We do not sell your personal information, and we do not sell or rent your phone number or your text-message consent to anyone.
2. Information we collect
The information we hold falls into a few categories. Not all of it applies to every visitor — browsing the site collects far less than completing a booking.
| Category | What it includes | When we collect it |
|---|---|---|
| Identifiers & contact details | First and last name, email address, mobile phone number, and the service address where the visit will take place. | When you book, call, email, or use the chat widget. |
| Pet and care information | Your pet’s name, species, breed, age, sex, spay/neuter status, and weight; the reason for your visit and any notes you share; the names and relationships of family members who will be present. | When you complete the booking form or speak with us. |
| Appointment & order information | Appointment date and time, aftercare and urn selections, keepsakes, travel fee, line items, and order total. | During booking and checkout. |
| Payment information | Confirmation that a payment succeeded, the amount, and a payment reference. We never receive or store your full card number, CVC, or expiry — see section 7. | At checkout, through Stripe. |
| Communications | Your messages to us and ours to you: emails, text messages, chat transcripts, voicemails, and call notes. | Whenever we correspond. |
| Consent records | Whether you agreed to receive appointment text messages, and when. | At booking. Kept as proof of consent. |
| Technical & usage data | IP address, browser and device type, pages viewed, referring page, and approximate location derived from your IP address. | Automatically, as you browse. |
We do not intentionally collect sensitive personal information such as government identifiers, health records about people, precise geolocation from your device, or biometric data. Please do not send us that kind of information.
3. How we collect it
Directly from you
Most of what we hold, you give us: when you complete the booking form, call or text (209) 561-5180, email us, use the chat widget, or talk with Dr. DiGenova during a visit.
Automatically
Our website and the services that host it record standard technical information — the kind of request logging every website performs. Our booking page also stores your in-progress booking in your own browser so you can pick up where you left off; see section 8.
From service providers
Our payment processor tells us whether a payment succeeded and gives us a receipt reference. Our address lookup provider helps confirm that an address is real and inside our service area. Our aftercare partner confirms the status of aquamation and keepsake orders.
4. How we use your information
We use the information described above to:
- Provide care. Schedule and prepare for your visit, know your pet’s size and condition, bring the right medication and equipment, and find your home.
- Confirm and remind. Send you appointment confirmations, reminders, changes, and follow-up about aftercare — by email, phone, or text if you have consented to text.
- Take payment. Create a secure checkout, confirm payment, issue receipts, and process refunds.
- Arrange aftercare. Coordinate aquamation, urns, keepsakes, and the return of your pet’s ashes with our aftercare partner.
- Notify your regular veterinarian as a courtesy, where you have asked us to or where it is customary in the care of your pet.
- Answer questions and provide support before, during, and after your visit.
- Keep records required of a veterinary practice, including records of consent.
- Improve the site and understand, in aggregate, how people find and use it.
- Meet legal obligations and protect against fraud, abuse, or misuse of our services.
We do not use your information to build advertising profiles, and we do not use your text-message consent for marketing.
5. Text messaging (SMS)
When you book a visit, you may consent to receive text messages from Edencrest Veterinary Care LLC about your appointment. This consent is optional in the sense that it is never a condition of receiving care — if you would rather not receive text messages, call us at (209) 561-5180 and we will arrange your appointment by phone and email instead.
The messages we send are non-marketing, service messages: appointment confirmations, reminders, schedule changes, arrival notices, and aftercare updates. Message frequency varies with your appointment. Message and data rates may apply. Reply HELP for help or STOP to opt out at any time.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Sharing with subcontractors who support our services — for example the messaging platform and carriers that actually deliver the message — is permitted solely so that the message reaches you.
All of the sharing categories described in section 6 exclude text messaging originator opt-in data and consent. That information is not shared with any third party, other than the aggregators and providers of the text messaging service itself.
Opting out of text messages does not remove you from email or phone contact about an appointment you have booked, and it does not affect the care you receive. Carriers are not liable for delayed or undelivered messages.
The SMS program terms are set out in full in our Terms & Conditions.
7. Payment information
Payments are processed by Stripe. When you continue to checkout you are taken to a page hosted by Stripe, and your card number, expiry date, and security code are entered there and sent directly to Stripe.
Edencrest never sees, receives, or stores your full card details. What we receive back is confirmation that the payment succeeded, the amount, and a reference we can use for a receipt or refund. Stripe handles that data under its own privacy policy and its PCI-DSS obligations.
8. Cookies & similar technologies
Your saved booking
Our booking page saves your progress in your browser’s local storage so that a dropped connection or a closed tab does not cost you the form. This stays on your own device, is never sent to us as a separate record, contains no payment information, and is cleared when your booking completes. Clearing your browser’s site data removes it.
Third-party cookies
The chat widget, the embedded service-area map, and the Stripe checkout page may set their own cookies or storage in order to function. These are set by those providers under their own policies.
Advertising measurement
We use Google Ads conversion tracking to learn whether an advertisement we ran led to a call or a booking. Google sets a cookie when you arrive from one of our ads and reads it if you later call us from the site or complete a booking. This tells us that an ad worked; it does not tell Google who you are. You can read how Google uses this data at policies.google.com/technologies/ads and adjust your preferences at adssettings.google.com.
Managing cookies
You can block or delete cookies in your browser settings. Doing so may stop the chat widget, the map, or the saved-progress feature from working, but it will not prevent you from booking or from calling us.
9. How we protect information
We use encrypted connections (HTTPS) across the site and booking flow, restrict access to client records to those who need it to provide care, keep payment handling with a PCI-compliant processor, and review access as our practice changes.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify you as required by California law.
10. How long we keep it
We keep veterinary and appointment records for as long as required by California law governing veterinary practice records, and otherwise for as long as we need them for the purpose we collected them — to provide care, complete aftercare, answer questions afterwards, keep accurate financial records, and resolve disputes.
Records of text-message consent and opt-out are kept for as long as we operate the messaging program, as proof that consent was given or withdrawn. Technical logs are kept for a short period and then discarded or aggregated.
11. Information from children
Our services are directed to adults. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with personal information, contact us at hello@edencrestvet.com and we will delete it.
12. Other websites & services
Our site links to and embeds content from other services — including a Google map of our service area, the Stripe checkout page, and our aftercare partner. This policy does not cover their practices. We encourage you to read the privacy policy of any third-party site you visit.
13. Do Not Track
Some browsers send a “Do Not Track” signal. There is no common standard for how a website should respond to one, and our site does not currently respond to DNT signals. We do not track you across other websites for advertising purposes.
14. Your privacy rights
Wherever you live, you may:
- Ask what we hold about you and receive a copy.
- Correct anything inaccurate.
- Ask us to delete information we no longer need to keep.
- Opt out of text messages by replying STOP, or of emails using the unsubscribe link — noting that we will still need to reach you about an appointment you have booked.
- Ask a question about anything in this policy and get a real answer from us.
To exercise any of these, email hello@edencrestvet.com or call (209) 561-5180. We will respond within 45 days, and will tell you if we need longer. We may need to verify your identity before acting on a request. Some records — veterinary records in particular — we are legally required to retain even after a deletion request.
15. California privacy rights
If you are a California resident, the California Consumer Privacy Act, as amended by the CPRA, gives you specific rights over your personal information.
Your rights
- Right to know the categories and specific pieces of personal information we have collected, the sources, our purpose for collecting it, and the categories of third parties we disclose it to.
- Right to delete personal information we hold about you, subject to legal exceptions such as our obligation to retain veterinary and financial records.
- Right to correct inaccurate personal information.
- Right to opt out of sale or sharing. We do not sell personal information and we do not share it for cross-context behavioural advertising, so there is nothing to opt out of — but the right exists and we honour it.
- Right to limit use of sensitive personal information. We do not collect sensitive personal information as the CCPA defines it.
- Right to non-discrimination. We will never deny you care, charge you differently, or give you a lesser standard of service because you exercised a privacy right.
What we have collected in the past 12 months
Identifiers (name, email, phone, service address, IP address); commercial information (services booked and purchased); internet and network activity (pages viewed on our site); approximate geolocation derived from an address or IP address; and audio or electronic information (call notes, texts, emails, and chat messages). Sources, purposes, and disclosure recipients are described in sections 2, 3, 4, and 6.
Sale and sharing
In the past 12 months we have not sold personal information and have not shared it for cross-context behavioural advertising. We have not sold or shared the personal information of anyone under 16.
Making a request
Email hello@edencrestvet.com with “California privacy request” in the subject line, or call (209) 561-5180. You may use an authorised agent; we will ask for written permission signed by you and may still verify your identity directly.
Shine the Light
California Civil Code § 1798.83 lets California residents ask about personal information disclosed to third parties for their direct marketing purposes. We do not make such disclosures.
16. Changes to this policy
We may update this policy as our practice or the law changes. When we do, we will revise the “Last updated” date at the top of this page. Material changes will be highlighted on the site. Continuing to use edencrestvet.com or our services after a change means you accept the updated policy.
17. How to contact us
Questions about this policy, or about the information we hold on you and your pet, always reach a person here — not a queue.
